1. Introduction and Scope

CORE Group Restoration, Inc., a Texas corporation ("CORE Group Restorations," "we," "us," or "our"), operates CORE Access (the "Platform"), an online community platform for CORE Group Restorations franchisees, contractors, employees, insurance carrier and TPA partners, vendors, and other approved participants.

This Privacy Policy explains what personal information we collect through the Platform, how we use and share it, how long we keep it, and what rights and choices you have. It applies to the Platform and its associated web pages, mobile applications, member directories, forums, messaging, event registration, and resource libraries.

This Policy does not apply to:

  • Personal information CORE Group Restorations processes in its capacity as a managed repair program administrator — including policyholder and claimant data handled through CONNECT, ONCORE, or under contract with an insurance carrier or TPA. That processing is governed by CORE Group Restorations' agreements with the relevant carrier or client and by the applicable claim-handling privacy notices.
  • Third-party websites, applications, or services linked from the Platform.
  • Personal information handled by your own employer, franchise, or organization.

This Policy is incorporated by reference into the CORE Access Terms of Use.


2. Controller and Contact Information

For purposes of this Policy, CORE Group Restorations is the controller (or, under applicable U.S. state law, the "business") responsible for personal information processed through the Platform.

3. Personal Information We Collect

3.1 Information You Provide

Payment information CORE Access membership is free — no payment information is collected for Platform access. If you register for a paid event or optional service, we collect billing name, billing address, and transaction records. Full payment card numbers are collected and processed by our payment processor, not stored by CORE Group Restorations.

3.2 Information Collected Automatically

  • Device and connection data: IP address, browser type and version, operating system, device identifiers, language settings
  • Usage data: Pages and content viewed, features used, search queries within the Platform, timestamps, referring pages, session duration
  • Cookies and similar technologies: See Section 5

3.3 Information From Other Sources

  • Your organization. Your employer, franchise, carrier, or vendor organization may provide or confirm your name, business contact details, role, and eligibility for membership.
  • CORE Group Restorations internal systems. Membership eligibility and affiliation may be verified against CORE Group Restorations' own business records.
  • Single sign-on providers. If you log in using a third-party identity provider, we receive the identifiers and profile fields that provider shares.
  • Publicly available and business sources. Limited professional information, such as licensing registries or company websites, used to verify eligibility.

3.4 Sensitive Information

CORE Group Restorations does not seek to collect sensitive personal information through the Platform. We ask that you do not post information revealing health conditions, precise geolocation, government identification numbers, racial or ethnic origin, religious beliefs, or similar categories in Community Areas. Limited health or accessibility information may be collected voluntarily for event accommodation and is used only for that purpose.

3.5 Information About Other People

If you upload or transmit personal information about any third party — including a policyholder, claimant, homeowner, subcontractor, or employee — you are responsible for having a lawful basis and all necessary authorizations to do so. Do not post claim files, policy numbers, loss addresses, or claimant contact details in Community Areas. CORE Group Restorations may remove such content without notice.


4. How We Use Personal Information

We use personal information to:

  • Create, authenticate, and administer your account and verify eligibility for membership
  • Operate the Platform, including profiles, directories, forums, messaging, groups, and content feeds
  • Facilitate connections and communication among Members
  • Manage event registration, attendance, and follow-up
  • Process payment for paid events or optional services and maintain the associated billing records
  • Send transactional, administrative, and service communications
  • Send community digests, program updates, and announcements, subject to your preferences
  • Provide member support and respond to inquiries
  • Moderate content, enforce the Terms of Use, and investigate suspected violations
  • Monitor, secure, and troubleshoot the Platform, and detect fraud or abuse
  • Analyze usage to understand engagement and improve features and content
  • Comply with legal obligations and establish, exercise, or defend legal claims

 

4.1 Automated Decision-Making

CORE Group Restorations does not use the Platform to make decisions producing legal or similarly significant effects about you through solely automated means.

4.2 Artificial Intelligence

Where AI-assisted features are enabled on the Platform (for example, content summarization, search, or recommendation), Platform data may be processed by those features. CORE Group Restorations does not permit its vendors to use Member personal information to train publicly available general-purpose AI models. Details on AI features in use are available on request at [email protected].


5. Cookies and Similar Technologies

We and our service providers use cookies, pixels, and similar technologies to:

  • Strictly necessary: Authenticate sessions, maintain security, remember your login
  • Functional: Remember preferences, language, and display settings
  • Analytics: Understand how Members use the Platform and where to improve it

You can manage cookies through your browser settings and, where offered, through the Platform's cookie preference control. Blocking strictly necessary cookies will prevent the Platform from functioning.

Global Privacy Control. CORE Group Restorations honors browser-based opt-out preference signals, including Global Privacy Control (GPC), where required by applicable law.


6. How We Share Personal Information

6.1 With Other Members

Your profile information and any content you post in Community Areas is visible to other Members. Depending on the configuration of a given group or area, visibility may be limited to specific groups or extend across the full community. A limited set of profile fields may be publicly visible if a Community Area is configured as public — check your privacy settings within your account.

6.2 Platform Provider

The Platform is built and hosted using software provided by Hivebrite SAS and its affiliates, which processes personal information as our service provider / processor under a written agreement restricting its use of that information to providing the Platform.

6.3 Other Service Providers

We share personal information with vendors performing services on our behalf, including cloud hosting and infrastructure, email delivery, analytics, customer support tooling, event management, security services, and — for paid events or optional services only — payment processing. These providers are bound by contract to use the information only as directed by CORE Group Restorations.

6.4 Corporate Affiliates

We may share information with CORE Group Restorations affiliates and subsidiaries for the purposes described in this Policy.

6.5 Legal and Safety

We may disclose personal information where we believe in good faith it is necessary to: comply with applicable law, regulation, subpoena, or legal process; respond to lawful requests from public authorities; enforce the Terms of Use; protect the rights, property, or safety of CORE Group Restorations, our Members, or the public; or investigate suspected fraud or security incidents.

6.6 Business Transfers

If CORE Group Restorations is involved in a merger, acquisition, financing, reorganization, or sale of all or part of its assets, personal information may be transferred as part of that transaction. We will provide notice as required by law.

6.7 With Your Direction

We share information as you direct, including when you share content, connect with other Members, or authorize an integration.

6.8 No Sale or Targeted Advertising

CORE Group Restorations does not sell personal information and does not share personal information for cross-context behavioral advertising or targeted advertising, as those terms are defined under the Texas Data Privacy and Security Act, the California Consumer Privacy Act, and similar state laws. CORE Group Restorations has not sold or shared personal information for these purposes in the preceding twelve months. We do not knowingly sell or share the personal information of anyone under 16.


7. Data Retention

We retain personal information for as long as your account is active and for the period afterward necessary to fulfill the purposes in this Policy, comply with legal and contractual obligations, resolve disputes, and enforce our agreements.

8. Security

CORE Group Restorations maintains administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls, role-based permissions, authentication requirements, logging, and vendor security review. CORE Group Restorations also relies on the security controls maintained by the Platform Provider under contract.

No system is completely secure. We cannot guarantee the security of information transmitted to or through the Platform. Protect your credentials, use a unique password, and enable multi-factor authentication where available. Report suspected unauthorized access to [email protected].

In the event of a security incident affecting personal information, CORE Group Restorations will notify affected individuals and regulators as required by applicable law and by its contractual obligations.


9. International Data Transfers

CORE Group Restorations is based in the United States, and the Platform and its supporting infrastructure are operated from and supported in the United States and other jurisdictions. CORE Group Restorations personnel and contractors located outside the United States, may have access to Platform data for development, support, and administration purposes, subject to contractual confidentiality and security obligations.


10. Your Rights and Choices

10.1 Available to All Members

  • Access and update. Review and edit most profile information directly in your account settings.
  • Visibility controls. Adjust what other Members can see, where the Platform offers such controls.
  • Communication preferences. Manage community digests and non-essential notifications in your settings, or use the unsubscribe link in marketing emails. You cannot opt out of essential transactional and administrative messages while your account is active.
  • Account closure. Close your account through your settings or by contacting [email protected].

10.2 U.S. State Privacy Rights

If you are a resident of Texas, California, Colorado, Connecticut, Virginia, or another state with a comprehensive privacy law, you may have the right to:

  • Confirm and access the personal information we process about you
  • Correct inaccurate personal information
  • Delete personal information we have collected about you
  • Obtain a portable copy of personal information you provided, in a readily usable format
  • Opt out of the sale of personal information, targeted advertising, and profiling with legal or similarly significant effects — note that CORE Group Restorations does not engage in these activities (Section 6.8)
  • Limit the use of sensitive personal information (California)
  • Be free from discrimination for exercising your rights

Appeals. If we decline your request, you may appeal by writing to [email protected] with "Privacy Appeal" in the subject line. We will respond in writing within the period required by applicable law and, if the appeal is denied, provide a means to contact your state Attorney General.

 

10.3 How to Exercise Your Rights

Submit requests to [email protected]. We will verify your identity before acting on a request, which may require confirming information already associated with your account. We will respond within the timeframe required by applicable law — generally 45 days in the U.S. — and may extend where permitted.

Authorized agents. You may designate an agent to submit a request on your behalf, subject to verification and proof of authorization.

Limits. Some rights are subject to exceptions. For example, we may retain information needed for legal compliance, security, fraud prevention, or to establish or defend legal claims. We may decline to delete content posted in Community Areas where doing so would disrupt discussions involving other Members, though we can typically disassociate it from your identity.


11. Children's Privacy

The Platform is intended for business use by individuals 18 years of age or older. CORE Group Restorations does not knowingly collect personal information from children. If we learn that we have collected information from a child, we will delete it. Contact [email protected] if you believe a child has provided information to us.


12. Third-Party Links and Integrations

The Platform may link to or integrate with third-party websites, tools, and services. This Policy does not apply to them. Review the privacy policies of any third party before providing information.


13. Changes to This Policy

We may update this Policy from time to time. Material changes will be communicated by posting the revised Policy with an updated "Last Updated" date and, where appropriate, by notice through the Platform or by email. Your continued use of the Platform after the effective date constitutes acceptance of the revised Policy.
